Good meetings start before anyone sits down

Most unproductive meetings share the same root causes: the wrong people, no clear outcome and a room that works against the conversation. A four-person strategy session in a twenty-seat boardroom feels hollow, while a client pitch squeezed into a two-person pod feels rushed. Getting the logistics right is one of the easiest ways to improve results.

Define the outcome first

Before booking anything, write one sentence that describes what the meeting must achieve: a decision, a plan, an approval or shared understanding. If you cannot write that sentence, the meeting probably should be an email or a short call.

Choose the right room size

As a practical guide, match the room to the number of people who will actively take part:

  • 2 to 4 people: a small meeting room or focus pod for one-to-ones, interviews and quick reviews.
  • 5 to 8 people: a standard meeting room with a screen for project updates and client presentations.
  • 9 to 16 people: a boardroom for board meetings, quarterly reviews and formal negotiations.
  • Larger groups: a training room or conference space with flexible seating for workshops and town halls.

Leave a little space for an unexpected attendee, but avoid rooms more than twice the size you need. Energy and focus drop quickly in a half-empty room.

Check the equipment, not just the seats

Each space listing on Al Hamriya Business Center shows its amenities. Before confirming, check the items your agenda depends on:

For hybrid meetings

Look for a video conferencing setup with a room camera and a speakerphone, not just a television screen. Remote participants should hear everyone clearly.

For workshops

Whiteboards, flip charts and space to move around matter more than a long table.

For client meetings

Consider reception service, refreshments and a room with natural light and a professional view.

Book realistic time slots

Add ten minutes before the meeting to set up screens and ten minutes after for wrap-up. If a discussion runs long, you can extend the booking from your dashboard as long as the room is still available. If plans change, meeting rooms can be cancelled free of charge up to 24 hours before the start time.

Run the meeting with discipline

  • Share the agenda and any pre-reading at least a day ahead.
  • Assign a facilitator and a note-taker.
  • Start on time, even if one person is late.
  • Close by confirming decisions, owners and deadlines.
A well-chosen room will not rescue a meeting without a purpose, but the wrong room can easily undermine a good one.

Follow up the same day

Send a short summary within a few hours while the discussion is still fresh. Over time, track how many meetings produce clear decisions. Teams that do this consistently tend to book fewer, shorter and more effective meetings.
